Create a gift voucher

1 - Login to Giftpro
Login to the Giftpro admin area.

Once you’re logged in, click ‘Gifts’ in the main navigation bar, then click ‘All Vouchers’. Finally, click ‘+ Create Voucher’ to start the process.

2 - Add some basic information
Firstly, you’ll need to add some basic information about your gift voucher.

Name
Name is the title of your gift experience. We recommend describing the experience as simple as possible, for example, ‘Champagne afternoon tea’.

Permalink
The permalink is the URL extension that appears in the browser. It’s also the link you would use to send people directly to the specific voucher page. I.e. ‘venuename.giftpro.co.uk/champagne-afternoon-tea/’.

Number of people
This is simply the number of people the gift voucher is for. Most clients only create vouchers for one or two people. If you’re going to allow your customer to choose how many people they purchase a voucher for, leave this field blank.

Voucher enquiries
Each gift voucher you sell has its own enquiry form. If you would like to change where enquiries for that specific voucher go simply enter the relevant email addresses separated by commas. For example, use this if you want enquiries relating to the spa to go to your spa team. If you leave this blank, enquiries will go to your store’s default email address.

Property
If you only have access to one property then you won’t need to edit this field. If you have access to more than one then select the property that your gift voucher relates to.

Department
The department drop-down is used for reporting purposes only. Simply select the department that the gift voucher relates to. This doesn’t affect the categories that your voucher appears in on your store. To create new departments, click ‘Vouchers’, then ‘Departments’, then click ‘+ Create Department’.

Validity
The validity field is what’s used to calculate the expiry date of each voucher purchased. You can select the number of months, days, years or a specific date range via the ‘Validity Period’ dropdown. By default, the validity period you enter will be from the date of purchase. However, if you select ‘Add a valid from period’ your validity period will start from then instead. Many clients don’t allow vouchers to be used within 48 hours of the purchase date to minimise fraudulent activity.

3 - Select the type of gift voucher you're creating
To select the type of gift voucher you are trying to create simply click on it. Here’s the difference between all three.

A - Standard Voucher
This is the default selection and won’t present any variables or price-related options to the customer on your store. This is perfect for simple vouchers that have a fixed price and don’t have any custom options.

B - Configurable Voucher
Select this if your gift experience has multiple options such as, number of people or treatment length. 

When selected, the pricing options box (below) will change to allow you to add your first option. Firstly, give it a title (i.e. number of people). Next, you’ll need to decide if each option has its own price or if the price is a multiple of the base price. You can change this using the ‘Type’ dropdown. 

To add ‘Normal’ options type the name of the option (i.e. 45 minutes) and the price next to it. To add another option click the ‘+’ below the field you’re typing into. You can remove options by clicking the red bin, change the order by dragging each of the arrows up and down and set the default by clicking the radio button on the far left of the field. Click the eye icon to prevent the option from being displayed on the voucher PDF that is generated once an order is placed for your voucher.

To add ‘Multiplier’ options you’ll first need to set a base price which appears above the ‘Type’ dropdown. Adding multiplier options is the same as adding normal options but instead of inputting prices for each option, you’ll need to add the number that the base price is multiplied by to give the option’s value.

If you want to add a second options drop-down to your voucher product page click ‘Add Option Block’ below.

C - Monetary Voucher
If you’re setting up a voucher that can be redeemed for anything at your venue then monetary vouchers are a good choice because they allow your customer to choose exactly how much credit to buy. When you select this option the pricing box below will change allowing you to set a minimum and maximum monetary amount that can be entered.

4 - Add images to your gift voucher
For each new gift voucher that you add to your store, you’ll need an image that suitably represents that particular product/experience. The more appealing the image, the better the sales results you’ll get.

Uploading an image
Click the image area and you’ll see the normal file selection dialogue so find your image and click upload… wait a few seconds and you’ll see it appear.

Cropping the image
Your gift voucher is displayed differently on the product page to the store category page so you’ll need to set a crop for each.

Firstly click ‘Set crop for product image’ – A screen will appear that illustrates the dimension of the image on the voucher page. You can adjust how much of your image is cropped with the small square handles and you can drag the same area around to choose which part of the image you would like to show. When you’re happy with the crop just click ‘Save Selection’

Once you’re done click ‘Set crop for category image’. The same screen will appear but you’ll notice the crop shape is representative of how your gift voucher will look on a category page. Follow the steps above to set this crop too.

5 - Add a description & terms to your gift voucher
You’ll need to add some descriptive information to make sure your customers understand what’s included in your gift experiences. We recommend keeping them simple and making sure you describe all of the USPs associated with your gift experience.

Voucher description
Firstly, add some copy that describes what the customer will get if they buy your gift voucher. This is your main piece of sales copy so make it as compelling as you can. You’ll see there are a few formatting tools above the main field so consider using them to make your description easy to read.

By default, your voucher description will be shown on both the voucher product page and the gift voucher generated. If you select ‘ Use a different description…’ below you’ll be able to add a different (usually shorter) description that is only shown on the actual voucher itself, not your online store.

Redeem and book instructions show on the voucher and are simply the steps that you would like the recipient to follow in order to redeem their gift voucher. Again, keep these clear and simple. If you leave this field blank, the voucher will show your store’s default instructions.

Terms & Conditions
Finally, add your T&Cs to the field in the ‘Terms and conditions’ box below ‘Description’. Like the voucher description, you also have the option to add shorter T&C’s to show on the physical gift voucher which can be helpful if your packaging has limited space.

6 - Set the gift vouchers visibility
As you scrolled through the various steps you probably saw some boxes to the right. These are the final settings you’ll need to configure before you can start selling your gift voucher, the first of which is visibility…

A - Live
If you select ‘Live’ your gift experience will appear on your online store as soon as you click ‘Save voucher’ in the top right of the screen. Customers will be able to buy it so make sure you’ve completed the setup before clicking ‘Save voucher’.

B - Offline only
If you select ‘Offline Only’ then you’ll only be able to sell the gift experience in-house via the admin area and it won’t appear online.

C - Direct link
If you select ‘Direct Link’ then your gift experience will be available to buy online but it won’t be publicly visible on the online store. Customers will only be able to see it by using the direct URL.

D - Draft
Select ‘Draft’ if you’d like to save the progress you’ve made without the gift experience going live anywhere. This is also a useful status for removing a gift experience from your store, without deleting it from the system entirely.

7 - Setup the gift vouchers options

Show on home page
If you select the ‘show on home page’ check box then the gift experience you’re working on will appear on the homepage of your online store. Useful if you’re looking to push a popular experience.

Email delivery only
Select this check box and your customers won’t be able to have their voucher for this gift experience physically posted to them. They will only be able to have it delivered via email.

8 - Add your gift voucher to a category
To choose which categories your gift voucher falls under simply click the checkboxes next to each that apply. If you don’t see the category you’re looking for you’ll need to save your gift voucher as a draft and follow the steps below to add one…

Adding a category
To add a category click ‘Vouchers’ in the main navigation bar, then click ‘Categories’ and you’ll be presented with a list of categories that you’re using. To add a new one click the ‘ + Create category’ button in the top right of the screen.

Name
The name of your category will appear in the drop-down box on the homepage of your online store so use terminology that makes sense to your customers.

Permalink
This is the URL that will be used to access the particular category you are creating. Consider using something short if the category name is particularly long, otherwise, it can be the same.

Property
If you have access to multiple properties you’ll need to select the one that the new category applies too. If you only have access to one property then this drop-down won’t be visible.

Visibility
If you select ‘Live’ then the category will be activated as soon as you click ‘Save category’ in the top right. If you select ‘Hidden’ then the category will appear in the admin area but won’t appear on your online store. Useful if you’re getting ready for Christmas or Black Friday.

Restrict by date and time
If you select this check box you’ll be able to time the category so it is only visible on your online store from and to a specific date. Again, this is useful for seasonal campaigns.

When you have completed the steps above click ‘Save category’ and your gift voucher will be activated.
