How to create a Configurable Gift Voucher

In this article, you’ll learn how to create a Configurable Gift Voucher on your Giftpro store.

Select this voucher type if your gift experience has multiple options, such as the number of people or treatment length. You can create gift vouchers with a single choice of options or add more. You can also make options with specific prices or multiples of a given price (Multipliers).

Before you begin, it's a good idea to prepare the image to be added to your gift voucher. This image needs to be horizontal, measure 1620 pixels by 900 pixels, and have a maximum file size of 15 Mb.

1. From the Dashboard, click Gifts on the left-hand side menu:

2. Within the Submenu, click Create Voucher:

Checking your PDF

As you create your gift voucher, it’s important to check the layout of your PDF. The PDF is sent to your customer when their gift voucher is sent to them, and the fields you complete on this page will affect how information is displayed.

a) You can check the layout of your PDF by clicking Actions in the top right-hand corner:

The Actions button will appear after you save your voucher for the first time.

b) And then click Preview Voucher PDF from the drop-down menu:

c) You’ll then see a window that displays the layout of your PDF. Simply click Close in the top right-hand corner to continue editing your voucher:

The ideal length for your PDF is a single page. If you find that it is longer than this, you will need to shorten your Voucher Description and/or your Terms & Conditions to ensure all of the content fits on a single page.

Name

3. Now you need to add the basic information about your gift voucher using the fields provided, beginning with the Name:

4. The name is the title of the gift voucher and will be visible to the customer. It’s best practice to ensure that the name of the gift voucher is as simple as possible. For example, ‘Afternoon Tea & Cakes’. Add your text to the field provided and scroll down to the next section.

Status

5. Here, you need to tick the relevant box to set the status of your gift voucher:

  • Draft - The voucher will be created but only activated once published.

  • Live - the voucher will be ready for your customer to use.

  • Scheduled - The voucher will be published on a given time and date.

Visibility

6. Below this, you then need to set the Visibility:

  • Public - This will make the gift voucher visible on your online gift voucher store so that customers can add it to their baskets. Internally, you can also add Public vouchers to your customers' baskets.

  • Direct Link - You will use this option if you need to send the voucher to a single customer, an exclusive guest list, or add it to a newsletter. Direct Link vouchers are not visible to everyone, or displayed on the gift voucher store.

  • Offline Only - These vouchers can be used for internal staff, but you must check them out using the back end of your Giftpro account.

Validity

7. Further down the page, you need to set the Validity of your gift voucher:

The validity field calculates the expiration date of each voucher purchased. You can select the number of months, days, years or a specific date range via the ‘Validity Period’ dropdown. By default, the validity period you enter will be from the date of purchase. However, if you select ‘Add a valid from period’, your validity period will start from then instead. Many merchants don’t allow vouchers to be used within 48 hours of the purchase date to minimise fraudulent activity.

8. Now, it’s time to upload an image for your gift voucher. Click the Upload button and select the relevant file from your computer:

When you have you have uploaded your image, you’ll see a preview of it:

It’s a good idea not to use an image with any text, as this image will be minimised or maximised according to the browser your customer uses, such as a mobile phone, tablet, or laptop. Also, if you need a generic image for your gift voucher, websites such as Pixabay.com and Unsplash.com are good places to source royalty-free images.

9. Now you need to select Configurable:

10. If you select the above option, the pricing element below will adjust accordingly. To begin, you’ll need to complete the Price Suffix field. This needs to be named after the choices available. For example, a gift voucher for a Champagne Afternoon Tea could have the price suffix of ‘Per Person’ and your customers can select how many place settings would need to be included on their voucher:

11. You can copy the Price Suffix field into the Option Title field, and then you need to choose your Type from the drop-down:

12. You’ll need to decide if each option has its own price or if the price is a multiple of the base price. If the option has it’s own price, select Normal. For options that are multiples, select Multiplier.

The text you add to the Pricing fields is also visible on the gift voucher PDF, so you can preview your PDF at this point to double-check the layout of this content.

Normal

a) To add ‘Normal’ options, type the option's name (i.e. 2 Diners) and the price next to it. To add another option, click the Add Option button:

b) Should you need to, you can remove options by clicking the grey bin symbol:

c) You can also change the order by dragging each of the arrows up and down on the left-hand side:

d) Should you need to offer a secondary set of options, you can do this by clicking Add Option Block below your current Product Options:

e)You can then repeat the process, completing the fields as you did previously:

You can specify a different face value to the price the customer pays, for example, if you want to offer a voucher worth £150 and only charge £100.

Multiplier

a) When you select Multiplier from the Type drop-down, You’ll see two fields appear - Base Price and Face Value. Add your Base Price and if necessary, your Face Value, and then you can begin populating your Name and Multiply By fields. Click the Add Option button to add more options:

b) If you want to add a second set of options, click the Add Option Block button:

You can only add one Multiplier option per gift voucher. Any additional options will be Normal Type.

c) Complete the fields as before to add your second set of options:

Description

13. You’ll need to add some descriptive information to ensure your customers understand what’s included in your gift experience. We recommend keeping it simple and making sure you describe all of the USPs (Unique Selling Points) associated with your gift experience. This is your main piece of sales copy, so make it as compelling as possible. Around 180 words is an optimum length. You’ll see a few formatting tools above the main field, so consider using them to make your description easy to read:

Options

14. Below the Description, you can then select Options for your gift voucher:

  • Add Special Offer Tag - Tick this box to add a ‘special offer’ tag to your gift voucher.

  • Show Price as ‘Now From’ - Tick this box to indicate a new low price for your gift voucher.

  • Disable Personalisation with Gift Message in Checkout - Tick this box to remove your customer's ability to add a gift message to their voucher.

  • Hide ‘Quantity’ Input - Tick this box to hide the quantity field.

  • Set Maximum Quantity - Tick this box to set the maximum number of vouchers available. When you select this option, you can also opt whether to display the total quantity for sale remaining.

  • Added to Basket Text -Singular/Multiple - Here, you can see - and amend if you want - the text customers will see when adding your gift voucher to their basket.

Terms & Conditions

15. You need to copy and paste your Terms & conditions into the field provided. You’ll see a few formatting tools above the main field, so consider using them to make your text easy to read:

Additional Information

16. If you need to add any additional information to your gift voucher in the form of a pop-up, tick this box:

17. This will open up two additional fields for you to complete to create your pop-up:

Email/Printed Voucher Settings

18. Your emailed/printed vouchers will use the same content as your online store unless you use the settings here:

These settings are ideal for custom gift vouchers, where one-off settings are preferable.

Enquiries

19. For each gift voucher, there is an individual enquiry form. If you want to change where enquiries for that specific voucher go, simply enter the relevant email addresses separated by commas. For example, use these settings if you want enquiries about ‘the spa’ to go to your Spa Team. If you leave this blank, enquiries will go to your store’s default email address:

  • Addition Contact Form Email Recipients - Suppose a customer uses the 'Ask A Question' button on the product page. In that case, you can add additional email addresses here of people you wish to receive a copy of the enquiry who aren't set up by default to receive enquiries.

  • Additional Order Confirmation Email CC Recipients - You can add email addresses here so people can receive a copy of the order confirmation email, which is not set up by default to receive email confirmations.

  • Phone Number Displayed - You can set a different phone number to be displayed on this product page instead of the default number for your store.

SEO

20. The last element on this page is where you can configure the SEO for your gift voucher:

Permalink

The permalink is the URL extension that appears in the browser. It’s also the link to send people directly to the specific voucher page. I.e. ‘yourdomainname.giftpro.co.uk/champagne-afternoon-tea/’.

Meta Title

In search engine results, this is the title of the page that would be displayed as blue text:

This ideally needs to display your shop name, location (if applicable), and gift voucher name:

Meta Description

In search engine results, this is the grey text that resides under the blue Meta Title and usually consists of a short summary detailing the information to be found on that page:

The quickest way to populate this area is to choose a paragraph from your Description field further up the page and edit it accordingly:

21. Now you have populated this page with all of the information required for your Configurable Gift Voucher, you need to click the green Save Changes button in the top right-hand corner:

22. You’ll see a success notification in the bottom middle of the screen for a moment, and then click Vouchers in the top left-hand corner:

23. You’ll then be able to see your gift voucher listed on either the Live, Scheduled or Draft tab - depending on what status you gave your gift voucher when creating it:

Frequently Asked Questions

How long does my description need to be?

Aim for a description of around 180 words. This guide has more about writing descriptions.

How many images can I add to my Gift Voucher?

The minimum is one, but there is no upper limit on the number of images you can add to a gift voucher. Ideally, a single, all-encompassing image is perfect, or if your gift voucher offers a service with different parts - such as a three-course meal, for example - you may want to add an image for each course.

How many characters can be used in the Name/Description/Terms & Conditions/Additional Information/Meta Title/Meta Description fields?

These fields are unlimited, but when completing these sections, you must know how the information will be displayed on the PDF, so keep previewing the PDF as you complete the different fields. You need to keep the contents informative, but the fewer pages on the PDF, the better. Equally, be aware of how the content will display online - if applicable - and aim to keep everything as succinct as possible.

How many email addresses can be added to Enquiries?

The number of email addresses you can cc here is unlimited. Be sure to include only the relevant members of your team and not clog everyone’s inboxes with emails!

How many gift vouchers can I sell on my store?

There's no limit to the number of gift vouchers you can add to your store. We recommend you don’t overwhelm your customers with options (choice paralysis is very real), but equally, it’s important to give them a good range from which to choose. Three or four options per department is a good start. A good way to organise a large inventory of gift vouchers is by using categories which are easy to configure from the admin area.

Why do we recommend a delayed validity period?

We recommend setting a 48-hour 'valid from' period on your gift vouchers. Fraudsters typically look to use a gift voucher before the cardholder has time to contact their bank, which is usually within 48 hours of purchase. Having 48 hours in place allows us to complete various fraud checks and dramatically reduce the chances of fraud at your venue.

How do I refund a customer?

The Consumer Contracts Regulations allow customers to receive a refund for up to 14 days after they receive their gift voucher. After this period, it is at your discretion. The refund process is incredibly simple; you can read about it here.
